& Family Coordinator
Mosaic Learning Academy is preparing to open a new public charter school in Buckeye in August 2027. We are seeking an experienced, bilingual Enrollment & Family Coordinator to join our founding team and help build the relationships and administrative systems that will support our school from the very beginning.

The Opportunity

This isn’t simply an enrollment position.

During Mosaic’s pre-opening period, enrollment will be your highest priority. You’ll serve as one of Mosaic’s primary contacts for prospective families — responding to inquiries, building relationships, conducting follow-up, helping families navigate enrollment requirements, maintaining accurate records and CRM information, and participating in tours, information sessions, community outreach, and enrollment events.
Mosaic is intentionally hiring this role early to create continuity from pre-opening enrollment into school operations. As enrollment systems become established, you’ll progressively assume broader administrative responsibilities and help prepare Mosaic for opening.
The position is anticipated to have the opportunity to transition to a full-time Office Manager & Family Coordinator role as early as January 2027 and anticipated no later than approximately April 2027, based on organizational need, enrollment, available resources, and successful performance.
What You’ll Do

The work itself.

Serve as a primary point of contact for prospective Mosaic families in both English and Spanish.
Respond promptly and warmly to family inquiries by phone, text, email, and other approved channels.
Conduct consistent follow-up and help families complete applications, documentation, and enrollment requirements.
Maintain accurate CRM information, enrollment records, family interactions, next steps, and follow-up.
Support family information sessions, tours, enrollment meetings, and other family-facing activities.
Participate in required community and enrollment events, including evening and weekend activities.
Ensure event leads are accurately captured and moved into Mosaic’s family follow-up process.
Identify recurring family questions or barriers, and help improve processes and communication.
Progressively assume administrative responsibilities involving records, trackers, school systems, documentation, purchasing support, vendor follow-up, school-opening logistics, and other operational priorities.
Work closely with the Operations Manager while providing appropriate administrative support across Mosaic’s operations, academic leadership, and executive leadership.
As Mosaic approaches opening, the role may expand into areas such as student records, registration, student information systems, daily attendance processes and reporting, family-facing office operations, and other recurring school administrative responsibilities.

What You’ll Bring

Required qualifications.

High school diploma required. Additional education, certification, or professional training in office administration, business, education, family services, communications, or a related field is preferred.
At least five years of progressively responsible administrative, office operations, school operations, family services, enrollment, customer-facing administration, or comparable professional experience.
Professional conversational fluency in both English and Spanish, including the ability to assist Spanish-dominant families with routine enrollment and school matters.
Experience independently owning administrative processes or significant recurring responsibilities.
Strong organization, accuracy, time management, communication, and follow-through.
Experience appropriately handling confidential or sensitive information.
Comfort learning and using CRM and database systems and other digital tools.
Reliable transportation and the ability to work throughout Buckeye.
Availability for evening and weekend enrollment and community events.
Especially valuable: school or education administrative experience; office-management or front-office experience; student information systems, records, attendance, registration or enrollment experience; and knowledge of Buckeye and the West Valley.
Location & Schedule

Where the work happens.

This position will initially average approximately 20 hours per week and combine independent and remote administrative work with scheduled in-person teamwork, family activities, community outreach, and enrollment events.
This is not intended to be a permanently remote position. As Mosaic establishes its campus and approaches opening, the role is expected to become increasingly site-based.
Because this position is highly family- and community-facing, residence in Buckeye or very near the Buckeye community is strongly preferred. Scheduling flexibility is required for evening and weekend events.
Compensation, Benefits & Growth

$25–$30 per hour.

Depending on experience and qualifications. Mosaic anticipates offering employee benefits beginning January 2027. Benefit offerings and eligibility will vary based on employment status and will be communicated as plans are finalized.
Mosaic intends for this early hire to create continuity into school operations. The successful employee is expected to have the opportunity to transition to a full-time Office Manager & Family Coordinator role as early as January 2027 and anticipated no later than approximately April 2027, based on organizational need, enrollment, available resources, and successful performance. The transition to full-time employment is anticipated but not guaranteed.
